Microsoft Teams Capture
Use Reps AI to send a notetaker bot to a Microsoft Teams meeting from the Meetings page.
Start Recording
- Open Meetings in the dashboard.
- Click Record meeting.
- Paste the Microsoft Teams meeting link.
- Choose Now or set a scheduled join time.
- Click Send bot.
The bot joins the meeting as Reps AI Notetaker or SWISH AI Notetaker, depending on your organisation.
Teams Link Requirements
Use the full Microsoft Teams meeting URL. Standard Teams meeting links are supported.
The current meeting bot flow does not support Teams direct calls, Live Events, Town Hall events, registration-required webinars, or Teams breakout rooms.
Lobby Behaviour
Microsoft Teams often places external participants in the lobby. The host, organiser, or another participant with the right permissions must admit the bot before recording can begin.
For external meetings, let the host know in advance that a notetaker will join.
Recording And Analysis
After the meeting ends, Reps AI imports the recording and transcript, runs analysis, and stores the meeting in your organisation's meeting history.
Troubleshooting
The bot is stuck in the lobby
Ask the host or organiser to admit Reps AI Notetaker or SWISH AI Notetaker from the Teams lobby.
The Teams link is rejected
Copy the meeting link again from the Teams calendar invite. Direct call links and non-standard Teams event links are not supported.
The disclosure chat does not appear
Some Teams meeting types and channel meetings restrict bot chat behaviour. The bot still needs to be admitted to record the meeting.
