Google Meet Capture

Use Reps AI to send a notetaker bot to a Google Meet from the Meetings page.

Start Recording

  1. Open Meetings in the dashboard.
  2. Click Record meeting.
  3. Paste the Google Meet link.
  4. Choose Now or set a scheduled join time.
  5. Click Send bot.

The bot joins the meeting as Reps AI Notetaker or SWISH AI Notetaker, depending on your organisation.

Google Meet Link Requirements

Use a meet.google.com meeting link. Calendar invites, copied browser links, and shared Meet links are all fine as long as the link opens the correct meeting.

Admission Behaviour

Google Meet may require the host, or someone from the host's Google organisation, to admit the bot. If you are attending an external meeting, the host may be the only person who can see the admission request.

If the host has disabled requests from external participants, the bot may be blocked from asking to join.

Bot Name And Profile

For the default guest bot flow, Google Meet shows the bot name sent by Reps AI. If signed-in Google Meet bots are configured later, Google may show the connected Google account name and profile image instead.

Recording And Analysis

After the meeting ends, Reps AI imports the recording and transcript, runs analysis, and stores the meeting in your organisation's meeting history.

Troubleshooting

The bot says it is waiting but no popup appears

Ask the meeting host to open the participants panel and admit the bot. In external meetings, non-host attendees may not see the request.

The bot is automatically declined

Ask the host to allow external participants to ask to join, or invite the bot account if your organisation later uses signed-in bots.

Speaker labels look wrong

Google Meet adaptive audio can route multiple in-room voices through one participant. If this happens, contact support so the meeting can be reprocessed with voice-based diarisation.
